Long-lead packages such as structural steel, curtain wall, generators, medical equipment, and elevators are bought against mill and factory slots before notice to proceed wherever the owner authorizes early procurement. That single discipline removes more schedule risk than any recovery schedule written after the fact.
Change exposure is reported weekly with narrative and cost. After trade buyout, we target net cost growth under two percent excluding owner-directed scope. Value engineering is presented with life-cycle impact so “savings” cannot silently degrade envelope performance, MEP resilience, or warranty exposure. Owner-directed changes follow a five-day pricing window with schedule impact stated before work proceeds, unless emergency safety work is required.
Payment applications & retention
Payment applications are AIA-style with schedule-of-values reconciliation, stored-materials documentation, and lien waivers through the tier required by the capital stack. Retention release tracks substantial completion and punch closeout, not an arbitrary calendar date. Lenders receive draw packages on the cadence the facility agreement demands, with progress photography and title coordination treated as part of the same weekly rhythm—not as an afterthought to the owner report.

Municipal approvals, inspections & permit sequencing
Permit lots are scheduled as a critical path, not an afterthought. A dedicated entitlements coordinator sequences foundation, superstructure, and interior lots so work can proceed legally in stages. Pre-application meetings, variance strategy, and agency comment response are owned by Aethelgard unless the owner retains separate counsel for land-use advocacy. Inspection hold points are written into the inspection and test plan. Failed inspections are root-caused within twenty-four hours with a recovery plan attached to the three-week look-ahead.
Photographic and digital records of pours, welds, envelope mock-ups, and firestopping are filed the same day so the as-built trail never lags the field. That discipline is what makes commissioning and warranty handover documentary rather than aspirational.
Bonding, insurance & lender documentation
Aethelgard maintains performance and payment bonding capacity sized for mid-to-large commercial programs, with general liability, excess, builder’s risk, and professional liability calibrated to design-build exposure. Certificates name the owner and lender as additional insureds as specified in the contract exhibits. Subcontractor default insurance or dual-obligee bonds are available when the capital stack requires them.
We prepare lender draw packages, title update coordination, and progress photo sets without treating the facility agreement as secondary to the owner dashboard. The same earned-value and change-exposure figures appear in both packages so the capital stack is never reading two different stories.
Subcontractor prequalification & site access gates
Prequalification covers EMR, OSHA logs, bonding capacity, audited financials, and three comparable completed projects. No trade is awarded on price alone. Foremen are interviewed; mock-ups are required for finish trades; and any vendor who fails a safety or quality gate is removed without waiting for a monthly meeting. Site access is badge-controlled where the campus requires it. Task-specific job safety analyses are briefed before high-risk activities. Hot work, confined space, and crane plans are approved before mobilization of the related equipment.
Leading indicators—near misses, observations, toolbox attendance—appear on the weekly client dashboard alongside lagging metrics. That is how we keep EMR performance from becoming a poster campaign instead of an operating system.
Design-build with an incumbent architect
Yes—we frequently novate or join as contractor-of-record with an incumbent design team, converting the engagement to CM-at-risk or design-build completion. The condition is early constructability access. If we inherit a set that has never been priced against logistics, crane paths, or long-lead reality, we will say so in the tender clarification rather than absorb hidden risk in a low number.
Integrated delivery still applies: estimating sits with design progression, clash detection runs before buyout, and details that cannot be built or warranted do not leave the studio unsigned. Sustainable material selection, seismic and wind compliance, and progressive-collapse requirements are treated as design constraints from day one.
Safety system, EMR & quality hold-point protocol
Safety is an audited operating system. Our EMR posture targets zero lost-time on active programs, with stop-work authority vested in every craftsperson for imminent danger. Superintendents run task-specific briefings; corporate safety audits sample sites monthly; and serious incidents trigger a twenty-four-hour root-cause package to the owner.
ISO 9001:2015 procedures govern inspection and test plans, hold points, and non-conformance closeout. Quality assurance is embedded in every pour, weld, and envelope mock-up—not deferred to a final walk. Commissioning proves systems against the owner’s project requirements. Structural warranty packages include remaining punch items costed and dated before substantial completion is certified.
Clients receive a weekly dashboard: earned value, open RFIs, change exposure by cause code, safety leading indicators, and the three-week look-ahead.
